"As of December 2006, new federal rules of civil procedure began to dictate—and the courts now expect—that all corporations know what information they have, where they have it, who is responsible for it, and how long they need to keep it. With Open Text, we feel we have the best control over the situation, and we can tell a court with confidence that we don't have something, or we can provide them with that item in a timely manner."

In every industry and country, companies must operate within the context of countless government regulations, industry standards, and internal company procedures. Virtually all of these regulations, standards, and rules involves some form of documentation. In some cases, the rules and regulations govern the management of the documents themselves, such as where they are stored and in what form, how long they must be kept, when they can be destroyed, and so on.

Every company generates content of various kinds, including email, paper, electronic documents (policies, contracts, reports, ...), digital assets (images, audio, video, presentations ...), and more. Some of this content is unimportant (such as an email between colleagues asking what time the meeting is), but much of it is vital to the operation of the business (such as contracts, audit reports, and employee information).

To support compliance and minimize risk, it is important to control the complete lifecycle of vital records, while at the same time reducing content management costs by deleting unimportant or out-of-date content.

The Records Management component of the Open Text ECM Suite enables control of the complete lifecycle of content objects by associating sophisticated retention and disposition rules with each content asset. These rules control if and when content can or must be deleted or archived on less costly storage media.

The Records Management component provides the ability to apply records management controls to different forms of enterprise content, including:
